Introducing the ProjectMark Outlook Plugin
The ProjectMark Outlook Plugin is your ultimate productivity tool, seamlessly connecting your emails with your CRM platform.
Effortlessly log email activities automatically or manually, ensuring every interaction is captured. Instantly create new contacts, companies, and opportunities without leaving your inbox.
This plugin is designed to save you time and keep your CRM up to date, giving you the flexibility to tailor your workflow and drive your business forward.
Before using the ProjectMark Outlook Plugin, ensure your email is synced with your ProjectMark account.
In your email sync settings, you will find two options:
Option 1: Automatic Email Sync
This is the default setting after integrating your email.
- With this option enabled, all emails related to an opportunity contact will be automatically logged in your CRM, even if you don't use our Outlook Plugin.
- Additionally, in the Outlook Plugin, the "Create Association Records" option will always be toggled on by default, but you can turn it off for individual emails as needed.
We'll explain this in more detail shortly.
Option 2: Use Outlook Plugin to Associate Records
With this option enabled:
- No associations will be created automatically.
- In the Outlook Plugin, the "Create Association Records" option will be toggled off by default, but you can enable it for individual emails as needed.
This option gives you greater control over which emails or threads are logged in your CRM.
Now, let’s explore how the plugin works:
When composing a new email and adding recipients, our plugin automatically recognizes CRM contacts. It associates the contact, their company, and any related opportunities.
- This cascade of associations eliminates the need for manual selection, but you can remove any associations you don’t want to include.
After sending the email, the message will appear in the activity logs of all associated records.
If you add a recipient who is not yet in your CRM, the plugin will prompt you to create a new contact with a single click.
When you receive replies:
Replies to your email are automatically associated with the previous email’s records.
- You can add or remove associations for individual messages.
- If you deselect an association, it remains available for future use, ensuring flexibility in logging specific email messages.
The same functionality applies to new incoming emails. The plugin:
- Recognizes existing contacts,
- Suggests creating new ones,
- And allows you to manage or remove associations, even opting not to log the email in your CRM.
