Organize Your Files with Folders in DataHub

Folders let you organize every file in DataHub into a structure that matches how your firm works: proposal content by sector, project photography by job, team bios by office. Instead of scrolling a long list or relying on file names, you can open RFP Responses > Healthcare > 2026 and find exactly what you need.

Folders are optional. If your team doesn't create any, DataHub works exactly as it does today.

Find Folders in DataHub

Open DataHub and select Folders in the left sidebar. This view shows only folders, so your organized content stays easy to scan.

All Files still shows every file in DataHub, whether or not it lives in a folder. Files you haven't placed in a folder appear only in All Files.

Create a folder or subfolder

  1. Go to DataHub > Folders, or open the folder where you want a subfolder.
  2. Click Create Folder. You can also right-click an empty area of the page, or right-click an existing folder to create a subfolder inside it.
  3. Enter a name and click Create.

Your new folder appears right away. You can nest subfolders as many levels deep as you need. There's no depth limit.

Naming tips

  • Each folder name must be unique within its parent folder. Two subfolders in different parents can share a name.
  • Names can include special characters such as &, /, and –.
  • Names can be up to 255 characters.

Browse folder contents

Click any folder to open it. Subfolders always appear first, followed by files.

  • Switch views. Use the view toggle to choose list view or grid view. In grid view, Folders and Files labels separate the two groups. DataHub remembers your choice the next time you open any folder.
  • Sort. In list view, click a column header (Name, Type, Modified, or Created by) to sort. Folders and files sort separately, so subfolders stay on top.
  • Filter by file type. Inside a folder, use the file type tabs to show only images, PDFs, documents, and more.
  • Navigate back. Use the breadcrumb at the top of the page (for example, DataHub > Folders > RFP Responses > Healthcare) to jump to any level above.

An empty folder shows shortcuts to upload files or create a subfolder.

Add files to a folder

You have several ways to put files where they belong:

  • Upload inside a folder. Open the folder, then upload. New files save to that folder automatically.
  • Drag from your computer. Open the folder and drop files from your desktop anywhere on the page.
  • Drag onto a folder. In list view, drag a file and drop it onto a folder row. The folder highlights when it's ready to receive the file.
  • Use the Saved at field. Open any file's details, click Saved at, and pick a folder. This works from All Files too.
  • Move to folder. Right-click a file inside a folder (or use its three-dot menu) and choose Move to folder.

Each file lives in one folder at a time. Choosing a new folder moves the file out of its previous one.

Manage your folders

Click a folder to open it. Hover over a folder to show two buttons: Create Shortcut and More (the three-dot button). More opens the folder's options: Rename, Move, Download Folder, and Delete. You can also right-click the folder to open the same menu. When you're inside a folder, the same options sit in the three-dot menu next to its name in the breadcrumb.

  • Rename. Enter the new name and save. In list view, you can also double-click the folder name.
  • Move. Pick a new location from the folder tree, or move the folder to the top level. Everything inside it moves too.
  • Download Folder. Get the folder and everything in it as a ZIP file (see Download a folder).
  • Delete. Choose whether to delete only the folder or its files too (see Delete a folder and use Trash).

To pin a folder you use often, hover over it and click Create Shortcut. The folder appears in the Shortcuts section of the DataHub sidebar. Shortcuts are personal to you and follow you across browsers and devices.

Right-clicking an image inside a folder also opens its options menu, just like the three-dot button.

Download a folder

Download a whole folder as a ZIP file, with its subfolders intact and every file at original quality.

  1. Choose Download Folder from the folder's menu or the breadcrumb menu.
  2. ProjectMark prepares your download in the background. Keep working, or even close your browser.
  3. When the ZIP is ready, you get a notification in the Notification Center and an email, both with a download link.
  4. Click the link to start the download in a new tab.

The ZIP reflects the folder as it was when you requested it. Download links expire after three days. If a link has expired, just request the download again.

Delete a folder and use Trash

When you delete a folder that contains files, ProjectMark shows how many files and linked records it holds, then asks how you want to proceed:

Option

What happens to the folder

What happens to the files

Delete Folder Only (recommended)

The folder and its subfolders move to Trash.

Files return to All Files and keep their links to projects, opportunities, and contacts.

Delete Folder & Files

The folder and its subfolders move to Trash.

Files move to Trash too and no longer appear on the records they were linked to.

Empty folders skip this choice and ask for a simple confirmation.

Trash sits at the bottom of the DataHub sidebar. Items stay there for 30 days, then ProjectMark deletes them permanently. From Trash, you can:

  • Browse and preview deleted items in list or grid view, filtered by file type.
  • Restore an item to its original location. If its original parent folder no longer exists, the item returns to the top level.
  • Delete permanently to remove an item right away instead of waiting 30 days.

Use Folders in the InDesign Plugin

Building a proposal in Adobe InDesign? Browse your DataHub folders without leaving your layout.

  1. Open the ProjectMark InDesign Plugin panel.
  2. Click Folders on the plugin home screen, next to All Files, Workforce, and Projects.
  3. Open folders and subfolders in list or grid view. Use the breadcrumb or back button to move up a level.
  4. Place files into your layout the same way you do from All Files.

The plugin is for browsing and placing files. To create, rename, move, or delete folders, use ProjectMark in your web browser.

Good to know

  • One folder per file. A file lives in exactly one folder at a time.
  • Record file tabs stay the same. The Files tab on a project, opportunity, or task still shows a simple list of linked files. A file can be linked to a project and saved in a folder at the same time, and it appears in both places.
  • Uploads from a record don't go into a folder. Use the Saved at field afterward if you want to organize them.
  • Who sees what. Everyone with access to DataHub files can see all folders. If you can't view a specific file, it stays hidden inside the folder. Creating, renaming, moving, and deleting folders requires permission to edit DataHub files.

FAQ

Do I have to use folders? No. Folders are optional, and All Files still shows everything.

Can I put the same file in two folders? No. Each file lives in one folder. Move it with Saved at or Move to folder whenever you need to.

I deleted a folder by mistake. Can I get it back? Yes, for 30 days. Open Trash, find the folder, and restore it to its original location.

Why can't I see my folders in a project's Files tab? Record file tabs show linked files as a simple list. Manage your folder structure in DataHub > Folders.

Can I create folders from the InDesign Plugin? Not at this time. The plugin lets you browse folders and place files. Manage folders in your web browser.
